Flooring Replacement Quote Checklist: Removal to Final Trim

Old flooring removed for replacement

A price per square foot is meaningful only when you know what it includes. Flooring proposals may price material, installation, removal, or an entire package. Use a consistent comparison sheet so a low material price is not mistaken for the finished project cost.

Identify the product and quantity basis

Record the exact product, color, dimensions, and installation method. Ask for the measured room area, ordered quantity, carton rounding, and planned spare material separately. Compare equivalent products rather than two broad labels such as “luxury vinyl” or “engineered wood.”

Quote line What needs clarification
Material Purchase quantity, delivery, taxes, and spare cartons.
Removal Existing floor, old adhesive where applicable, disposal, and excluded hazardous materials.
Preparation Testing and the method for pricing repairs or leveling after inspection.
Installation Rooms, stairs, pattern, underlayment, and accessories.
Finishing Transitions, trim, door adjustments, furniture, and appliance handling.

Check what each square foot refers to

Arithmetic example only: a room measures 300 square feet, while the agreed order is 330 square feet after the installer's layout allowance. At an invented $4 material rate, the product line is $1,320. If labor is an invented $3 per measured square foot, that line is $900. Combined, those two lines are $2,220—not the complete job if removal, trim, or preparation is excluded.

These figures are not price research or a recommendation to use a 10% allowance. Ask the bidder to show its actual quantities and explain whether labor is billed on measured area, purchased area, or a fixed scope.

Put preparation on a decision path

Have the installer describe what is known before removal and what must be assessed afterward. Request the relevant test results and product requirements. The NWFA technical resources are a reference for wood flooring; the selected manufacturer's instructions still matter. A vague “floor prep extra” line needs an approval method and pricing basis.

Assign the awkward jobs

Who empties the room, moves the refrigerator, removes doors, resets trim, and returns furniture? Do not assume these tasks belong to the flooring crew. Note exclusions and get separate prices where needed. Confirm responsibility for any specialist disconnection or reconnection.

Agree on the final walkthrough

List the rooms and transitions to inspect together, care instructions to receive, and unused materials to hand over. Record remaining items and the process for reporting them. Avoid relying only on a broad assurance that the installer will “make it right.”
